Request photo tiles and the Photos needed list

See at a glance which client photos are no longer available, which projects need photos before an appointment, and what you can do about it.

Client photos appear as small thumbnails on pipeline cards, on the Ideas list, on each idea, on appointments and in the calendar. When the server confirms that a client's photo is no longer available, its thumbnail becomes a Request photo tile, so you can tell it apart from a photo that is simply slow to load.

What each tile means

  • A small photo. The photo is there. Click it to open it full size.
  • Request photo (grey tile with a camera). The server has confirmed this photo is no longer available. Click the tile to see everything on file for that client and project.
  • Wrong photo (dimmed, with a badge). The spot holds a placeholder image instead of the client's photo.
  • Couldn't load (grey tile, with Retry). Your browser couldn't load the photo just now — usually a slow or dropped connection. The photo itself may be fine. Press Retry or reload the page.

A Photos needed chip on a card means the project has no photos left and needs new ones from the client.

The Photos needed list

On the Ideas page, the Photos needed filter lists every project you can see that is waiting on photos. It is sorted by the next appointment, so the clients you will see soonest are at the top. Each row shows when the next appointment is and how many photos are needed.

You only see projects you already have access to: an artist sees their own clients' projects, and a shop owner or manager sees the shop's.

The photo overview

Clicking a Request photo tile, the Photos needed chip, or Request photos on an idea, an appointment or a client page opens an overview of that client's project:

  • the client and how to reach them (hidden if your shop limits the contact details you can see)
  • which project and appointment it is — if the client has several projects, choose one first
  • every photo slot on the project, each marked as there or needed, with a plain description of what the client would be asked for
  • how many more reference photos the project can hold (a client can keep up to 5 on one project)
  • healed photos and consent forms already on file

Asking the client for photos from this overview is not switched on yet. Until it is, you can:

  • Upload it yourself if you already have the photo, from the Reference Images section of the idea.
  • Message the client to ask for it.

This guide will be updated when requesting photos by email is available.
