Let a client reschedule an appointment

Send a private appointment link, see the two-change allowance, and review further requests.

You can email a private reschedule link for one existing appointment. The client does not need an account. Their deposit stays attached to the appointment.

  1. Open the appointment in the admin app.
  2. Find Client rescheduling and press Send private reschedule link.
  3. Wait for the confirmation that the invitation was sent. Sending another invitation replaces the previous link.

Your calendar permissions control whether you can send or review a link. A client needs an email address and must be contactable: blocked clients and clients marked do-not-contact cannot receive invitations.

The private link expires when the appointment starts. Keep it private. The client opens the invitation to see their appointment and available times; the private part disappears from the address bar as the page opens. If they close or refresh the page, they should reopen their latest invitation.

The first two changes

The client can make two successful changes to this appointment. They see the remaining count before choosing a time. Confirming an available time moves the appointment immediately. Both the old and new times use the appointment's saved timezone, even if the client is travelling.

Changes need the notice period configured for the artist, or 24 hours when no period is configured. Inside that window, the page asks the client to contact their artist. No fee is collected by this reschedule flow.

The artist receives a notification. Calendar updates, reminders, and the client's appointment-change email follow the reschedule. The client-change allowance belongs to this appointment; sending a new link does not reset it.

After both changes are used

Warnings appear in the appointment details, calendar appointment panel, and client profile. The client can propose another available time and add a reason, but the appointment does not move and the proposed time is not reserved.

Open the appointment's Client rescheduling section to compare the current appointment with the proposed time. Add an optional message for the client, then choose Approve proposed time or Decline request.

Approval checks the calendar again. If the time has been taken, decline the request so the client can choose another time. If the appointment changed after the request was made, the request is superseded instead of overwriting the newer appointment. Adding an internal note does not invalidate the link or request.

The client can see whether the request is waiting, approved, declined, or superseded. Client emails honor their contact settings. Approval does not reset the allowance: further client changes still need staff approval.
