Client contact visibility for your team

Decide whether an artist at your shop sees clients' email, phone and Instagram, or only names and tattoo ideas.

Every artist who works at your shop has a membership, and each membership carries a set of permissions you control. One of them decides how much of a client's identity that artist sees. This guide covers that one setting: what each option does, how to change it, and what the artist sees afterwards.

The two options

The setting is called How much client identity this member sees, under the Clients group of the permissions page. It has two values:

  • Full client access (default) — the artist sees clients the same way you do: names, email, phone, Instagram, the Clients page, the Pipeline, and every idea they can normally see.
  • Names + tattoo ideas only — the artist sees client names and the tattoo ideas they are assigned to, and nothing that would let them contact the client outside the app. In the setting's own words: no contact info; the Clients and Leads pages are hidden; ideas open with contact details hidden.

Every new membership starts at Full client access. Applying a membership preset never changes this setting on its own — you choose Names + tattoo ideas only deliberately, per artist.

Change it for an artist

  1. Open Shops → All Shops and pick your shop.
  2. Open Members and press the Permissions button beside the artist.
  3. Under What you grant the artist, find the Clients group and the row How much client identity this member sees.
  4. Choose the option you want from the drop-down. The row shows unsaved until you press Save changes.

Changing any permission by hand switches the membership type to Custom, which is expected.

The artist can see the value you set, but not change it: it is listed under What (your shop) grants you on their My Shops page.

What the artist sees with "Names + tattoo ideas only"

The calendar works as before. Each appointment shows the client's name and the tattoo idea; the email and phone lines are absent, and the event's notes do not carry them either. The View Client Idea button on an appointment still opens the idea.

Ideas stays in the menu, and lists only the ideas the artist is assigned to (or created themselves). Opening one of those ideas shows everything the artist needs to do the work — the description, reference images, consult notes, session notes, inks and needles, photos, payments — with the client card reduced to the name and one line: Contact details are hidden by your shop's settings. There are no email, call or Instagram buttons, and the name does not link to a client profile. Ideas the artist is not assigned to are not shown at all.

Clients, Lists, Waitlist, Pipeline and Lead Discovery are removed from the menu. A client profile page cannot be opened.

Sending email or a booking link from an idea needs the client's email address, so those actions stay disabled on an idea whose contact details are hidden — the button explains why. The shop sends those for the artist. Declining a request still works: the app emails the client for the artist without showing the address.

Messaging through the app shows the client's name and the conversation, not their contact details.

When to use it

Choose Names + tattoo ideas only for an artist who should do the work you hand them, but who should not carry your client list with them — a guest artist, a trial period, or a booth arrangement where clients belong to the shop. Choose Full client access for anyone who books and manages their own clients through your shop.

If an artist works at more than one of your shops

The setting is per membership. If the same artist has a membership at two of your shops and only one of them is set to Names + tattoo ideas only, the more open setting applies — they see full contact details across both.

An independent artist who runs their own account is never restricted on their own clients; the setting only governs what they see of your shop's clients.
